The Office of the Registrar is committed to supporting the overall mission of Arkansas State University-Beebe.

Our staff is dedicated to providing quality administrative support to the learning activities that occur on our ASU-Beebe campuses in a timely, professional, consistent and ethical manner.

Students may request copies of the following records from the Office of the Registrar by submitting a records request form. Please note that records will not be issued to a student with an outstanding financial obligation to ASU-Beebe.

  • Foothills Vocational/Technical Institute Transcript 

  • Immunization Records 

  • Placement Test Scores 

  • Letter of Good Academic Standing

Records Request forms may be submitted by email, fax or mail. 

Transcripts must be requested through the National Student Clearinghouse


ASU-Beebe has authorized the National Student Clearinghouse (NSC) to provide enrollment and degree verifications for high schools, outside companies, loan vendors and other institutions of higher education.

Registration is open two times a year. Registration for summer and fall terms opens in March, and registration for spring terms opens in October. Students are strongly advised to consult with an academic advisor before registering for classes. 

For Fall and Spring, you can take up to 18 credit hours each semester in any combination. 
Fall or Spring – 18 credit hours
Fall or Spring Term I – 9 credit hours
Fall or Spring Term II – 9 credit hours

For Summer, you can take up to 17 credit hours total in any combination.
Intersession – 3 credit hours or 1 course
8 Week – 9 credit hours
First Summer – 7 credit hours
Second Summer – 7 credit hours
10 Week – 9 credit hours

If students wish to take more than the maximum hours, they must complete the Student Request for Overload Hours form requesting permission to take an overload. The form must be signed by the student’s advisor and their academic dean before it reaches the Office of Academics.

Once you have registered, please review your student schedule before attending your first course. Course locations and meeting times can change from the time you registered. Please note that part-term courses (4-week or 8-week) have different attendance, registration, drop and refund dates than full-semester term courses. To review a complete listing of important dates for all terms, visit the Academic Calendar page. 


Federal regulations for financial aid require attendance in your courses to be eligible to receive aid. Attendance must be in the form of physically attending the class, submitting an assignment, or completing the Syllabus/Attendance quiz for online classes. Students who do not attend by the date published on the Academic Calendar will be removed as a "no-show" and will have a limited time period to request reinstatement in the course.  


A student may repeat a course to change the original grade. The LAST grade earned will become the official grade and will be used to calculate the cumulative grade point average (GPA) - even if the last grade earned is lower than the original attempt.

Students who choose to repeat courses should know:

  • Students must repeat the same course to have the latest attempt replace the first attempt.
  • All courses attempted will remain on the transcript.
  • Previous attempts are indicated on the transcript.
  • Courses will only count toward graduation requirements once, even if both attempts are successful.
  • Adjustments to the cumulative GPA are not made for courses transferred from other institutions because no grade points are assigned to transfer credits.
  • Grades of "W," "I," or "AU" will not replace the original grade.
  • Developmental courses are not included in the Repetition of Courses policy.

Use the Information Change form to change your social security number, date of birth, address, email or phone number. 

Students wishing to change their name must complete the Name Change Request and provide the necessary documentation to the Office of the Registrar. Along with the completed form, a driver's license and social security card with the correct name, or a copy of a marriage license/divorce decree/court order are required.
Acceptance of Transfer Credit: Transfer credit may be accepted from students who provide official transcripts from institutions recognized by the Council for Higher Education Accreditation. If these credits fit the program of studies selected at ASU-Beebe and the student received a grade of "C" or better. The college registrar reserves the right to accept or deny transfer credits to ASU-Beebe based on the transfer institution's academic policies.


Transfer of English courses will not be accepted from international institutions. This policy is typically waived for citizens of the British Isles, Australia, the English-speaking portions of Canada, and New Zealand.


Official transcripts should be submitted to the Office of Admissions at the time of application to the college. The college registrar will evaluate official transcripts. Final approval of transfer credits rests with the Vice Chancellor of Academics. Courses accepted for transfer credit will be posted to the student's ASU-Beebe transcript with the grade earned and the transfer institution's course identifier and title. Transfer credit is not calculated as part of the student's ASU-Beebe cumulative GPA. Credits earned will only be reflected in hours earned and may be used for degree requirements. Only eight hours of technical credit may be used for elective requirements in an Associate of Arts degree. The college registrar will determine technical credit.


Students must complete a minimum of 15 credit hours of residency to be eligible for an ASU-Beebe degree.


International Transcripts: Requirements for submitting international transcripts and academic records for transfer credit evaluation include
  • A course-by-course credential evaluation by a credential evaluation agency.
  • The official evaluation must be mailed directly from the agency to the Office of Admissions at ASU-Beebe.
  • Credential evaluation agencies include: WES and NACES

Although your credential evaluation may indicate that you have completed a significant number of credit hours, ASU-Beebe will only accept those credits which satisfy its degree requirements.


Arkansas Course Transfer System (ACTS) contains information about the transferability of courses within Arkansas public colleges and universities. Students are guaranteed the transfer of applicable credits and equitable treatment in the application of credits for admissions and degree requirements. Students may complete specified general education courses anywhere in the public system as well as many courses in the degree/major that have been pre-identified for transfer. This system is designed to assist in planning from the high school level through the adult workforce.

Prior Learning Assessment: Credits earned through non-traditional methods may be awarded upon evaluation by the college registrar. Students may petition in writing as to the specific courses for which they wish to receive credit with a rationale as to why credit should be given for each course. The courses must be direct equivalents to current ASU-Beebe courses.


The National Program on Non-Collegiate Sponsored Instruction and the American Council on Education evaluate and make credit recommendations for educational programs, seminars and courses from such entities as business and nonprofit organizations. Credits from technical schools of the armed forces are evaluated according to the recommendations of the American Council on Education in A Guide to the Evaluation of Educational Experiences in the Armed Forces.


Per rules established by the Arkansas Division of Higher Education, a maximum of 30 hours can be earned through non-traditional methods, credit by examination or a combination of both.


Service Members Course Transfer Opportunity: Many courses offered at the Little Rock Air Force Base center satisfy the Community College of the Air Force (CCAF), USAF Airman Education and Commissioning Program (AECP), and USAF Reserve Officer Training Corps (ROTC) requirements. Classes are open to active duty military personnel, Department of Defense civilian employees, military reserve members, National Guard personnel, military dependents and military retirees. Courses are also available to the general public on a space-available basis, security posture permitting.


ASU-Beebe accepts transfer credit from the Community College of the Air Force, a regionally accredited and federally chartered degree-granting institution.


Military evaluation credits from the U.S. Army, U.S. Navy, U.S. Marine Corps and U.S. Coast Guard may be awarded to the ASU-Beebe degree-seeking students who are properly admitted and have earned credit at Arkansas State University-Beebe. Credits will be awarded for comparable ASU-Beebe per the most recent American Council on Education (ACE) Guide to the Evaluation of Educational Experience in the Armed Services. College Level Examination Program (CLEP) and Defense Activity for Non-Traditional Education Support (DANTES) subject standardized tests. A maximum of 15 hours on non-comparable courses to be counted as electives can be accepted. If elective coursework exceeds 15 hours, the student must select the 15 hours to be used. Original certificates or copies certified by an appropriate military official are required prior to document evaluation.

ASU-Beebe will award credit by examination to students who meet the following criteria:

  1. Examinee is a current ASU-Beebe student.
  2. Student provides an Advanced Placement (AP), CLEP or Dantes/DSST transcript, which lists a minimum credit-bearing score for an exam title that appears on one of the corresponding exam tables printed below.
  3. Student has not completed, regardless of grade, an equivalent or more advanced course at ASU-Beebe or another accredited institution.
  4. AP, CLEP and Dantes/DSST scores are not over 3 years old.
  5. Student secured the AP, CLEP or Dantes/DSST score prior to earning 60 traditional credit hours or 30 non-traditional credit hours.

Credit will be posted to the student's transcript without grades or grade points after completing one semester at ASU-Beebe.

If a student is enrolled in the corresponding course for which they will receive credit, the student is responsible for either officially dropping the course to receive credit by exam or continuing in the course until it is completed and receiving no credit by exam.

Credit hours earned through credit by examination are included in the total maximum hours of non-traditional credit - 30 hours for associate degrees. Technical certificates can earn/use up to one-half of the required credits for the certificate. Certificates of proficiency can earn/use up to one-half of the required credits and must complete two courses at ASU-Beebe.

    Definitions

    Arkansas State University System means all the campuses within the Arkansas State University System, now and in the future. 


    Student means an individual who attends or has attended classes at ASU-Beebe. This policy does not apply to the records of applicants for admission who are not accepted to ASU-Beebe, nor does it apply to applicants who are accepted but choose not to attend ASU-Beebe. 


    Education Records are those records, files, documents and other materials which contain information directly related to a student and are maintained by ASU-Beebe or a person acting for ASU-Beebe.


    Directory Information is designated to be the student’s name, local/permanent physical addresses, email addresses, telephone listings, photographs and electronic images, date and place of birth, major/field of study, participation in officially recognized activities/sports, weight/height of members of athletic teams, dates of attendance, degrees/awards received and the most recent previous educational agency or institution attended by the student.


    The Family Educational Rights and Privacy Act (FERPA) requires that higher education institutions strictly protect the privacy rights of all students who are or have been in attendance. Information in the student’s education records can be shared only with those persons or entities specified within the act. The law also provides students the right to review their education records to make any necessary corrections. The Office of the Registrar maintains a copy of the full text of FERPA, posts electronic information on FERPA and processes all FERPA requests and challenges.


    Arkansas State University will utilize the following process to implement the provisions of the Family Educational Rights and Privacy Act.


    Disclosure of Education Rights

    Disclosure With Student Consent

    A student may consent in writing to the disclosure of education records. The student’s written consent must be signed and dated and specify which records are to be disclosed, to whom and for what purpose. The consent must be delivered to the Office of the Registrar. The student may retract the consent in writing at any time. The Office of the Registrar may require proper proof of identity before consent is retracted.


    Disclosure Without Student Consent

    ASU may disclose education records without the student’s written consent to any school official with a legitimate educational interest within the institution. School officials include administrators, supervisors, faculty members, instructors, support staff, members of the Board of Trustees, persons with whom ASU has contracted for particular tasks (e.g., National Student Clearinghouse) and university committee members. A school official has a legitimate educational interest if they need to review an education record to fulfill their professional responsibility. School officials of ASU are considered to be within the institution for FERPA. They may exchange education records without student consent if they have a legitimate educational interest.

    • Disclosure without student consent may also be made to other persons and entities as allowed by FERPA.
    • Faculty sponsors of registered honor societies may have access to student education records for the sole purpose of determining eligibility for membership on the basis that they are acting in an official university capacity that is integral to the educational function of ASU.
    • The parents of students may exercise rights under FERPA if the student is claimed as a dependent by the parents for income tax purposes. Dependency must be proven by submission of a copy of income tax returns.


    Disclosure of Directory Information 

    Directory information may be disclosed to any person or entity without student consent unless the student submits a completed request for non-disclosure of directory information form to the Office of the Registrar. If a student elects not to allow disclosure of directory information, ASU cannot share information regarding the student with any person or entity, including prospective employers, licensing agencies, government agencies, the media, and others. The student may retract the directory information non-disclosure in writing at any time. The Office of the Registrar may require proper proof of identity before the directory information non-disclosure is retracted.  


    Inspection, Review, and Correction of Education Records

    Students have the right to inspect and review their education records except for specific exclusions in the Family Educational Rights and Privacy Act. A student should contact the Office of the Registrar to arrange an inspection, review and correction of an educational record. The Office of the Registrar may charge a fee for copies of any education records.


    Ownership of Education Records

    Education records are the property of ASU. Education records including transcripts and diplomas will not be released to any student with a delinquent financial obligation to the University.
