Proctor Requirements

Online classes are required to give one major proctored exam, which should be the final exam.  In some instances, your division and/or subject matter may require you to give two proctored exams, a midterm and a final (fall/spring semesters only).  We ask that you not require proctoring for exams outside of these two, as we do not have proctoring services available year round, and it is inconvenient for online students to travel to testing centers more than twice during a term/semester.

For proctored online exams:

  • The Distance Education office will supply the password for the exam.  You MUST use this password, and only this password.  DO NOT share the password with students!
  • Make sure your exam is published and all dates are set as given by the DE Coordinator for students to access on the days we are proctoring at all ASU-Beebe testing locations (Beebe, Heber Springs, LRAFB and Searcy).
  • Provide your students with clear instructions on how they are to complete your exam, if you are not giving a standard multiple choice, T/F, matching, short answer, or essay type of exam.
  • If you are requiring your student to review a document/article during the exams, you must convert it to a pdf/Word document accessible after the password is entered.
  • Handouts/formula sheets must be sent to the Distance Education office by the date specified by the DE Coordinator prior to the testing period.  We will copy and distribute the handout/formula sheet(s) to the appropriate testing locations within the ASU-Beebe campuses and to students.
  • Be sure your name, course title, and page numbers are in the header and/or footer on all handout/formula sheet pages to ensure all pages are returned to you.  We will copy them on color paper so we can distinguish the handouts/formula sheets we are giving from cheat sheets the students may have brought in.
  • If you use an online software (MyMathLab, MyLabsPlus, Cengage, etc.) you will need to provide the DE Coordinator with a paper copy of your exam.

Online Proctoring Policies:

Students are not allowed to bring text books, notes or paper into the testing lab. 

Send any specific instructions you have for your students (can use Word, must use Office 2010, etc.) to our office by the date specified by the DE Coordinator.  We add these directives to the information sheets used by proctors within our testing centers.

Students Using Outside Proctors:

If you have students who live too far away to travel to one of the ASU-Beebe campuses testing locations, or if the scheduled testing times do not fit their schedule, they will be required to find an approved proctor.  Please direct them to the Proctored Exam information module in your Canvas course(s).

Once they have found a proctor, they will submit their request through the Proctor Request Form on the Distance Education website (https://www.asub.edu/asub-online/proctoring-locations-dates-info/proctor-approval.aspx).  The DE site can be accessed by going to the www.asub.edu home page, hovering over Degree Options, and clicking on ASUB Online.

Areas of important for you in regards to proctoring outside of the ASU-Beebe campuses:

  • It is the student's responsibility to find a proctor that meets the proctoring guidelines and to submit the required Proctor Request Form to the DE office by the posted deadline for that term/semester.  This gives us time to send the form to you and for you to approve the proctor.
  • The DE office will verify the requested proctor and then send the information to you.  If you know of reasons why the proctor should not be used, please let us know, as that student may be taking multiple exams with the proctor and we need to alert all of the instructors.  As an FYI - we randomly verify previously approved proctors each semester to ensure that students are abiding by our policy.
  • If a student submits a proctor request after the deadline, we will still send you the form and it will be up to you whether or not you approve the request.  Sometimes there can be extenuating circumstances that force a student to secure a proctor close to testing dates. 
  • It is the Distance Education office's responsibility to make arrangements to get the necessary testing materials/password to the proctors.  Please notify DE if you want your exam scratch paper returned to you. Otherwise, it will stay on file in our office.
  • Make sure the Distance Education office has your cell phone # so they can contact you if they have questions and/or issues.
  • All of our staff will be in the testing center during testing periods and not available to answer proctor questions.  If you have a problem during that time, our contact information is below.  We check our ASUB email as often as possible.
